Documents Required from You for Vepapu's Services

Documents Required

Documents are mandatory for all members of a company, including directors, shareholders, Ultimate Beneficial Owners (UBOs), and contact persons.

For natural persons (individuals), identity proof and address proof are required. For corporate bodies, corporate documents must be submitted, along with the identity and address proof of the natural persons involved in those corporate bodies.

Documents from Natural Persons

Proof of Identity Document

A scanned copy of the certified true copy of the passport of each individual member is required. If an individual does not have a passport, an alternative government-issued identity document, such as a national-government issued identity card, may be accepted, subject to verification.

Guidelines for Identity Proof Document:
  1. The identity document must be valid for at least six months from the submission date.
  2. The certification of the document must not be older than three months.
  3. Please ensure that the scanned documents are clear and legible to avoid rejections.

Proof of Address Document

A scanned copy of the certified true copy of any one of the following address proof documents is required for each individual member:
  1. Bank statement
  2. Driving license
  3. Utility bill (such as electricity, gas, water, internet, telephone, cable, waste management, or sewage bill)
Guidelines for Address Proof Documents:
  1. The document must have been issued within the last three months.
  2. If using a driving license as address proof, it must be valid for at least six months.
  3. The holder’s full name and physical address must be in English. If the document is in another language, refer to the Translation Guideline section.
  4. P.O. Box addresses are not accepted. A valid street address must be provided.
  5. Please ensure that the scanned documents are clear and legible to avoid rejections.

Work Experience Summary

A comprehensive Curriculum Vitae (C.V.) or a LinkedIn profile outlining detailed work experience is required for each individual member.

Documents from Corporate Bodies

If a company includes corporate directors and/or corporate shareholders, scanned copies of the following documents are required:
  1. Certificate of Incorporation (scanned copy).
  2. Memorandum & Articles of Association (M&AA) / Constitution and Amendments (scanned copy).
  3. Certificate of Incumbency (if applicable).
  4. Proof of the registered address of the corporate entity.
  5. Register of Directors, Shareholders, and Beneficial Owners (scanned copy).
  6. Board of Directors structure and corporate chart (showing ownership hierarchy).
  7. Corporate representative details and board resolution authorizing incorporation or transactions.
  8. Confirmation letter of business activity, detailing the nature and scope of the company’s operations.
  9. Extract of the company’s details from the Registrar of Companies, which may include:
    1. Business Profile
    2. Certificate of Incumbency
    3. Certificate of Good Standing (must be valid within six months).

Additionally, identity and address proof documents must be provided for all natural persons associated with the corporate body, including directors, shareholders, Ultimate Beneficial Owners (UBOs), and contact persons.

If a corporate body has another corporate body as a director and/or shareholder, the same documentation process applies until the Ultimate Beneficial Owner (UBO) is identified.

We may request you to share certified true-copy documents for any or all of the above corporate body documents during the due diligence process or at any time. Also, depending on the jurisdiction and/or service being offered, we may request you to courier the originals of the certified documents to us before we begin processing your service or releasing the final documents. We suggest that you keep the documents safe with you.
